How we handle your information
This policy explains what personal data DigitalRoad collects through digitalroad.tech, why, who helps us process it, and the rights you have under the GDPR.
Who we are
DigitalRoad is a web design and AI agent studio based in Cork, Ireland, and is the data controller for the information described here.

What we collect
- Contact form: your name, business, email, phone (optional), the service and sector you choose, and your message.
- AI assistant chat: the messages you type. If you share contact details or ask to be contacted, the assistant sends us your name, email, phone, business and a short summary of what you need.
- WhatsApp: if you message us on WhatsApp, we receive your number, name and messages through WhatsApp.
- Facebook Messenger: if you message our Facebook page, our AI assistant may answer you. Your messages are sent to OpenAI to write the reply, and the recent conversation is kept on our server for up to 24 hours so the assistant can follow it, then deleted. A member of our team may also read and reply.
- Anonymous statistics: we count page visits, button taps (such as WhatsApp) and how many chat conversations take place, to send our clients a monthly report. These are totals only: no cookies, no IP addresses and no names are stored for this. Questions the assistant passes to us are kept in the report without the visitor's contact details.
- Technical data: your IP address, which our server uses to limit spam and abuse. It is also included in contact form emails to help us spot spam.
We don't use advertising or analytics cookies. The website remembers in your browser, for that visit only, whether the assistant has already introduced itself.
Why we use it
| Purpose | Legal basis |
|---|---|
| Replying to your enquiry and preparing a quote | Steps taken at your request before a contract |
| Answering your questions through the AI assistant | Our legitimate interest in responding to visitors quickly |
| Protecting the website from spam and abuse | Our legitimate interest in keeping the service secure |
We never sell your data and we don't use it for unrelated marketing.
Who processes it for us
- Hostinger hosts the website and our email inbox.
- OpenAI provides the AI model that writes the assistant's replies. Your chat messages are sent to OpenAI to generate each reply, under its API business terms, which don't allow OpenAI to use them to train its models. Google may be used as a backup provider under its paid API terms.
- Google Fonts serves the website's fonts and receives your IP address.
- Telegram may be used to send us an instant notification when you contact us, containing the details you gave.
- Meta (WhatsApp, Facebook Messenger) processes messages you send us on WhatsApp or Messenger.
Some of these providers may process data outside the European Economic Area. When they do, they rely on the safeguards the GDPR requires, such as the European Commission's Standard Contractual Clauses or an adequacy decision.
How long we keep it
- Enquiries and the emails they generate: up to 24 months after our last contact, unless you become a client, in which case we keep what our accounting and legal duties require.
- Chat conversations are not stored on our website. We only keep what reaches our inbox when you share your details.
- Spam-protection records on our server are kept only as long as needed to apply hourly and daily limits.
Your rights
You can ask us to access, correct or delete your data, to restrict or object to how we use it, or to send it to you in a portable format. Email hello@digitalroad.tech and we'll reply within one month.
To delete a Facebook Messenger conversation or any other data, see how to delete your data.
If you're unhappy with how we handle your data, you can complain to the Irish Data Protection Commission.
Please don't share sensitive information
The AI assistant is there to answer questions about our services. Please don't type health, financial or other sensitive personal information into the chat.
Changes
We may update this policy when our services change. The date at the top shows the latest version.
